Stronger proposals and reports with AI, done safely
A practical workshop that helps NGO teams use AI for proposals, programme design and donor reporting, while protecting their data, their donors and the people they serve.
Your staff already use AI
A 2026 survey of 346 nonprofits found that 92% use AI in some way. Only 7% use it strategically, and 47% have no AI policy at all.
That gap carries real risk. AI tools invent figures and citations that can end up in a donor report. Beneficiary data pasted into a public tool can break data protection law. Funders are setting new rules on AI in applications. And case details or invented stories can harm the people an organisation exists to serve.
The workshop closes that gap. Your team learns to use AI well, with a person checking the work at every step and a policy that sets the rules.

The workshop
Over two days and eight sessions, your team works on its own proposals and reports. Half of every session is hands on.
Day 1, write and design, covers how AI works and where bias comes from, a proposal workflow that follows donor rules, practice on a live donor call, and programme design and logframes.
Day 2, report and govern, covers reporting from data and field notes, data protection and safeguarding, building your team's own workflows, and drafting an AI use policy and a 30 day plan.
Your team leaves with a prompt method and a library of tested prompts, a proposal workflow with human checks, a reporting workflow that protects personal data, an ethics and safeguarding checklist, and a draft AI use policy.
The workshop is also available as four half day virtual sessions. Thirty days later we meet again to review time saved, errors caught and how the new workflows are being used.
Other ways we can help
Some teams want a shorter introduction. Others want more support after the workshop. We offer:
- Introduction, a half day on how AI works, bias and safe use
- Workflow setup, four to five days building two tested workflows on your own proposals and reports
- Proposal support, call analysis, drafting support and a final review for one bid
- Policy review, one to two days checking your AI use policy against the law and safeguarding standards
Common questions
Do our staff need technical skills?
No. The workshop starts with how AI works and why it gets things wrong. Half of every session is hands on practice with your own proposals and reports.
Is it safe to use AI with beneficiary data?
Only with clear rules. We give you a traffic light data rule aligned with the Kenya Data Protection Act 2019, so staff know what can and cannot go into an AI tool.
Do donors allow AI in proposals?
Rules vary and are changing fast. Some funders now set rules on AI use and disclosure. The workshop covers current donor rules and builds human checks into your proposal workflow.
Can you run it online?
Yes. The workshop is also available as four half day virtual sessions.
